Key Responsibilities:
Manage and coordinate a range of office administrative services — including staff accommodation and relocation arrangements, equipment and supply procurement, internal forms processing, asset disposal, parking coordination, facility maintenance, and building security.
Analyze and monitor administrative operations related to budgeting, vendor contracting, and project planning across active construction projects.
Act as a central point of contact between the office and site teams, coordinating daily administrative workflows to support both onsite and offsite personnel.
Support the preparation of the annual operating budget and maintain accurate inventory and budgetary tracking systems.
Compile data and prepare regular and ad hoc reports, internal manuals, and business correspondence as needed.
Support the onboarding process for new hires, helping integrate new staff into daily operations and company procedures.
Requirements:
Minimum of five years of progressive administrative experience, including experience coordinating office operations, budgeting, and contracting across single or multi-site environments.
High school diploma or equivalent required.
Exceptional organizational and multitasking skills, with the ability to manage a broad range of administrative functions — including procurement, supplies management, relocations, and facilities/maintenance coordination — simultaneously.
Excellent written and verbal communication skills, including experience preparing reports, manuals, and correspondence, and liaising effectively with staff, vendors, and stakeholders.
Strong analytical skills and attention to detail, with experience monitoring administrative operations and supporting budgetary and inventory controls.
Proficiency in office software and project management tools to streamline administrative workflows and track deliverables.
